Guidelines for Examination Advisory Panel Convenors
These guidelines are for convenors of examination advisory panels that are attended by staff as part of the supervision training program.
Identification of Cases
The candidate and supervisor must agree to the participation of trainees as observers. The panel convenor or nominee is responsible for contacting them to secure agreement.
Documentation to be provided to Trainee Participants
The convenor or nominee will release related documentation to the trainee participants. Relevant documentation may include:
- examiners’/ adjudicator's reports
- memo notifying faculty that an advisory panel is to be convened
- Doctoral & MPhil Information Handbook: Chapter 7 (Thesis and examination matters)
Fourth Member of Advisory Panel
Trainee participants may not be fourth members of an advisory panel as the fourth member must be an experienced supervisor of doctoral candidates.
Confidentiality Agreements
Workshop participants will be required to sign confidentiality agreements in relation to the documents used for the advisory panels. As all documentation is strictly confidential, it must be returned to the advisory panel convenor or nominee at the end of the meeting and then placed in confidential waste.
Details to be included in Advisory Panel Recommendation
The advisory panel’s recommendation which is forwarded to the Steering Committee of the Research Graduate School Committee must list the details of the trainee participants. The confidentiality agreements must be returned to MRGS with the advisory panel report.
