HOW TO ENROL

Congratulations on being accepted into a research degrees program at Monash University, Australia. We hope that your time enrolled with us will be a pleasant and rewarding experience.

To assist you with your enrolment, please read your Letter of Offer thoroughly taking careful note of the ‘Conditions of Candidature’ to avoid unnecessary delays when enrolling.

Please note that you may be required to submit additional documents at the time of enrolment without which, unfortunately MRGS will not be able to complete the enrolment process. Example of additional documents might be:

  • Withdrawal letter from previous candidature at another institution
  • Evidence of English Proficiency that meets Monash University’s requirement

Australian / New Zealand Citizens and Australian Permanent Residents

  • You are required to accept your offer of candidature within 4-weeks of receiving the offer letter. Please fax or mail your acceptance form to MRGS office

  • If enrolling internally/on-campus, you must attend Monash Research Graduate School (Building 3D, Clayton campus) and bring all completed forms with you.



External and Off-Campus Enrolment

All external candidates will be enrolled off-campus. As an external candidate, you will also receive a Course Enrolment Form with your offer package. This form needs to be signed and returned with your documentation taking note of the Student Acknowledgment Agreement and Consent. Please send the completed forms (where applicable) to:

Gippsland or Parkville Enrolments

If you are a candidate from Gippsland or Parkville campuses and unable to attend MRGS to enrol, please complete enrolment by following the instructions below:

  • Accept your offer within 4 weeks of receiving your offer letter

  • Arrange to meet with your supervisor to complete the following forms:

  • Complete a Course Enrolment Form with the campus administrator. Please note the Student Acknowledgement Agreement and consent.

  • Provide original or certified copies of additional documents as specified under the Conditions of Candidature in your letter of offer. Photocopies of original or certified copies are not acceptable. Please note that MRGS will not be able to enrol you without these documents.

  • Meet with your department/school administrator (refer to your offer letter for more information), who will send your completed enrolment documents to MRGS on your behalf. Alternatively, forward all completed forms to the MRGS office directly.


International Candidates


International candidates from Assessment level 3 or 4 country will need to obtain a Pre-Visa Assessment (PVA) - Refer to www.immi.gov.au/allforms/pdf/1219i.pdf

The following must be received by International Recruitment Services (IRS) before an electronic Confirmation of Enrolment (eCOE) can be issued for visa application purposes:

  • Pre-Visa Assessment (PVA) – Where applicable
  • IRS Acceptance Form
  • Payment of deposit as specified in your offer letter or a Sponsorship Letter (if the candidate is sponsored through a scholarship or grant)
  • Payment of Overseas Student Health Cover (applicable also to scholarship holders if the OSHC is not included in the sponsorship)


At enrolment, the following documents are required from you:

External and Off-Campus Enrolment

Students Transferring Degrees within Monash


Students transferring from a research masters degree to a doctoral degree are required to submit a doctoral application and confirmation/upgrade paperwork to the Monash Research Graduate School.

Transfers to a doctoral degree at another faculty within Monash will require the candidate to submit a new doctoral application form completed by the new faculty together with an indication from the current faculty that they support the transfer.

For candidates transferring from one department/school to another within the same degree and faculty, the ‘Appointment of Permanent Supervisor/s’ application needs to be completed. The transfer of department section is on Page 5. This application can be downloaded from the following web address:

Re-Enrolment


Enrolment is an annual event and you will be forwarded re-enrolment information via your student email address in September each year. Re-enrolment is conducted online via WES 
http://www.adm.monash.edu.au/enrolments/wes/wes.html during October and November. In order to receive instructions on how to enrol, you will be required to link your student email address to your Monash staff, or non-Monash email address. Follow the instructions on the following ITS website to link your email addresses: http://www.its.monash.edu.au/students/email/about.html#forward

Failure to re-enrol within the re-enrolment period will result in a fine being applied.
