Notes for Faculty Administrative Officers (Graduate Studies)

  • You will need to set your own closing date for finalising Data Validation and H1 equivalence nominations at your faculty office.  See the Selection Timetable for details.
  • Applications for H1 equivalence need to be submitted to the Monash Research Graduate School by the close of business on Thursday, 12 November 2009.
  • Assessments of H1E nominations will be undertaken by the RGSC panel on Friday 13 November 2009. Assessments marked as 'pending' will be forwarded to the relevant H1E panel for further consideration. Copies of these nominations must then be forwarded to MRGS for the panel members.
  • You will need to set your own closing date for receipt of departmental order of merit lists at your faculty office. You may also wish to provide special faculty instructions with regard to ranking procedures.
  • Faculty order of merit lists are due at the Monash Research Graduate School by 5pm on Monday, 30 November 2009.

Candidature offers

Faculties are reminded that in returning the faculty order of merit list and signing the attached statement they are at the same time formally recommending on behalf of the Faculty Board that any applicant who accepts a scholarship should be enrolled forthwith as a candidate for the designated research higher degree upon commencement of study at Monash.

Academic units/faculties supporting an application for an external APA must indicate this in the 'Remarks' column on the Faculty Order of Merit List.

Once again faculties are reminded that applicants should only be ranked by departments/faculties if the resources and the facilities required for the research project are available in the relevant academic unit.

There may be some instances where a student appears to have been ranked at a point in the faculty Order of Merit List which is inappropriate in the light of the student's academic record (eg a person with Ns in the earlier part of an undergraduate program may be ranked quite high on the faculty Order of Merit List, presumably because their honours year has been quite outstanding). In these instances, a justification of the rank order given needs to be provided in the 'Remarks' column on the Faculty Order of Merit List.

OPTIONAL PRE-OFFERS

  • Faculties are entitled to pre-offer up to 20% of the faculty's provisional (70%) allocation. Faculties are entitled to pre-offer one tuition scholarship (ie MIPRS). One (1) scholarship may be pre-offered by those faculties with a provisional (70%) allocation of less than five awards.
  • Pre-offers will be available to new commencing applicants only. Applicants must have submitted a scholarship application before a pre-offer can be considered.
  • Pre-offer will not be made after Friday 6 November 2009. Please use the standard form (rtf 121kb) or (pdf 27kb) to arrange a pre-offer.
  • Successful pre-offer applicants can commence their scholarship/s at time of enrolment rather than waiting until after 1 January (end of year round) and 1 August (mid-year round). RGSC will assess the nominees for a pre-offer and make the final decision on whether a pre-offer will be made.
  • The names of applicants to whom a pre-offer have already been made must be inserted at the appropriate point in the final faculty Order of Merit List submitted to the Monash Research Graduate School.
  • The date of pre-offer made should be clearly noted in the 'Remarks' column.
